Simulator evaluations and qualification events are often viewed as high stress milestones. Months (and months!) of preparation culminate in a few intense days where every system, document and decision feels under scrutiny. For many organisations, the focus becomes avoiding findings rather than demonstrating capability.
Yet experienced regulatory evaluators will tell you that a simulator evaluation is not about catching people out. It is about building confidence. Confidence that the device performs as claimed, confidence that changes are understood and controlled, and confidence that the organisation operating the simulator knows its system well enough to train pilots safely.
Understanding what regulators are really looking for can fundamentally change how teams prepare, how technicians behave during evaluations, and how qualification is sustained long after the auditors have left.
Evaluations Are Trust Assessments, Not Perfection Tests
One of the most common misconceptions is that regulators expect perfection. In reality, they expect transparency, competence and control.

No complex simulator is entirely free of quirks. Regulators know this. What matters far more is whether the organisation understands those quirks, has assessed their impact, and can explain how they are managed.

Team Confidence Is Actively Observed
Regulators do not only assess the simulator. They assess the people supporting it.
During evaluations, technicians are constantly communicating whether they realise it or not. The way faults are discussed, the way questions are answered, and even body language all contribute to the regulator’s confidence in the organisation.
A technician or engineer who calmly explains what is known, what is still being investigated, and what the next step will be inspires far more confidence than someone who rushes to provide an answer they are not certain about.
Confidence is communicated through knowing what you know, knowing what you don't know, and knowing how to find out safely and effectively.
Behaviour Under Pressure Tells a Story
Simulator evaluations introduce pressure by design. Schedules are tight, sessions are observed, and outcomes matter.
Regulators pay close attention to how teams behave when things do not go to plan.
Do technicians panic when a test needs to be repeated?
Do discussions become defensive or collaborative?
Does the organisation rely on one expert, or does the team function collectively?
Calm problem solving under pressure signals a robust operation. Emotional reactions, finger pointing or last minute improvisation signal risk.
This is one of the reasons early technician training and mentoring pays dividends long before qualification events begin.
Traceability Is Non Negotiable
One of the clearest signals of organisational maturity is traceability.
Regulators want to see that -
Changes are documented
Decisions have rationale
Results can be reproduced
Issues have owners and closure paths
When a question is asked, the best answer is often not verbal. It's being able to point to a document, a log entry or a procedure that shows how the organisation thought through the issue.
Traceability turns conversations from opinion based discussions into evidence based ones. It removes ambiguity and builds confidence quickly.
Understanding the Impact of Change
Modern simulators evolve constantly. Hardware upgrades, software updates, visual adjustments and database changes are part of normal operations.
Regulators are less concerned about change itself than about whether the impact of change is understood.
They are looking for answers to questions such as -
What was affected?
What was tested?
What was not tested and why?
How do you know training integrity was preserved?
An organisation that can clearly articulate the scope and impact of a change demonstrates control. One that cannot invites deeper scrutiny.

Instructors are the primary users of the simulator. Their confidence, or lack of it, is visible during evaluations.

It is always better to say “That is a good question, let me confirm and come back to you” than to guess or deflect.
Honesty builds trust. Guessing or deflecting erodes it.

These behaviours can't be switched on a week before an evaluation. They are built over time.

Perhaps the most important insight is this. Simulator evaluations are not separate from daily operations. They are a snapshot of them.
If training is ad hoc, documentation is inconsistent and knowledge lives in one person’s head, that will surface during evaluations. Conversely, if operations are calm, disciplined and well understood, evaluations tend to confirm that reality.
Regulators are not looking for theatre. They are looking for evidence that what they see during the evaluation reflects how the simulator is run every other day of the year.
Building Confidence Before the Auditor Arrives
The organisations that approach evaluations with the least stress are those that invest early in people, systems and processes.
They train engineers and technicians not just to fix faults, but to understand systems.
They prepare documentation as part of normal everyday work.
They empower teams rather than relying on heroes.
They rehearse scenarios calmly.
When evaluation time comes, they are not trying to impress. They are simply demonstrating how they already operate.
